1. Introduction
Shinnyo-en Lanka Preschool ("Shinnyo-en Lanka Preschool", "we", "us", "our") operates the Shinnyo-en Lanka Preschool Admission Portal at admissions.shinnyo.lk (the "Portal") to receive and process applications for admission to Shinnyo-en Lanka Preschool. This Privacy Policy explains what personal data we collect through the Portal — including personal data relating to children — how we use it, who we share it with, and the rights available to you.
Because an application necessarily involves the personal data of a child who cannot consent on their own behalf, this Policy is written with additional care around children's data. It should be read together with our Terms & Conditions and Cookie Usage Policy.
2. Data Controller
Shinnyo-en Lanka Preschool is the data controller responsible for personal data submitted through the Portal. Contact details for data protection queries are set out in Section 12 below.
3. Personal Data We Collect
In the course of an application, we collect:
Child's information: full name, date of birth, gender, nationality, and a photograph submitted in accordance with our published Photograph Guidelines.
Parents' information: full name, National Identity Card (NIC) or passport number, contact number, e-mail address, residential address, educational details, occupation, and employer details for both parents (or, where a parent's details genuinely cannot be provided, a record that the relevant checkbox was marked).
Guardian's information (where applicable): name, relationship to the child, contact details, and identification, where the child resides with a guardian rather than a parent.
Application and interview records: information submitted on the application form, interview notes and outcome, and any supporting documents produced at interview.
Payment-related information: We do not collect or store card or banking details on this Admission Portal.
Technical data: IP address, browser type, device information, and Portal usage data, collected automatically as described in our Cookie Usage Policy.
4. How We Collect Personal Data
Personal data is collected directly from you when you complete the online application form, upload documents or a photograph, communicate with us by e-mail or in person, or attend an interview. Technical data is collected automatically through the Portal as described in our Cookie Usage Policy.
5. Legal Basis for Processing
We process personal data submitted through the Portal on the following bases:
Consent of the parent or legal guardian, given by submitting an application on the child's behalf, as the child is not of an age to provide consent themselves;
Performance of steps requested prior to a potential admission arrangement (processing the application, arranging and conducting the interview, and communicating the outcome);
Legitimate interests of Shinnyo-en Lanka Preschool in operating a fair, orderly, and verifiable admissions process, and in maintaining accurate school records; and
Compliance with applicable legal, regulatory, or educational-authority record-keeping obligations.
6. Purposes of Processing
We use the personal data collected through the Portal to:
Assess and process the application, including verifying eligibility (such as the child's age) and the accuracy of information submitted;
Schedule and conduct interviews, and communicate the outcome by e-mail;
Verify original documents at interview against those submitted online;
If the child is offered and accepts a place, create and maintain the child's student record and coordinate collection of the Maintenance Fee;
Maintain records of past admission cycles for audit, dispute-handling, and legitimate administrative purposes; and
Maintain the security, integrity, and proper functioning of the Portal.
We do not use personal data collected for admissions for marketing purposes, and we do not sell personal data to any third party.
7. Who We Share Personal Data With
Personal data submitted through the Portal may be shared, on a need-to-know basis, with:
Shinnyo-en Lanka Preschool's management and the interview/selection panel, for the purpose of evaluating the application;
Administrative and IT staff or service providers who host, maintain, or provide technical support for the Portal, under obligations of confidentiality;
The Preschool systems and portals (such as for payments), limited to what is necessary to link to a specific admitted child's record; and
Regulatory, educational, or governmental authorities, where required by applicable law.
We do not disclose child or parent personal data to any other third party, including for advertising or profiling purposes.
8. Retention of Personal Data
Where an application is unsuccessful or not taken further, the personal data submitted (including the child's photograph) is retained for no longer than is necessary to handle any queries relating to that admission cycle, after which it is securely deleted or anonymised, unless a longer period is required by applicable law.
Where a child is admitted, the application data forms part of the child's ongoing student record and is retained in accordance with Shinnyo-en Lanka Preschool's student record retention practices for as long as the child is enrolled, and thereafter for such further period as is required for legal, regulatory, or legitimate historical record-keeping purposes.
9. Children's Privacy
The Portal is designed to be used by parents and legal guardians on behalf of a child, not by the child directly. By submitting an application, you confirm that you are the child's parent or legal guardian and that you are authorised to provide the child's personal data, including their photograph, for the purposes described in this Policy.
We limit the collection of children's personal data to what is reasonably necessary for the admission process, and we apply the same security safeguards described in Section 10 to children's data as to any other personal data we hold.
10. Data Security
We apply reasonable technical and organisational measures to protect personal data submitted through the Portal, including:
Encryption of data in transit between your browser and the Portal;
Access controls restricting personal data, including photographs, to staff who need it to process the application;
Secure storage of uploaded documents and photographs; and
Periodic review of access permissions and security practices.
No method of transmission or storage is completely secure, and while we take reasonable steps to protect personal data, we cannot guarantee absolute security.
11. Your Rights
Subject to applicable law, including the Personal Data Protection Act, No. 9 of 2019 of Sri Lanka, you may have the right to:
Request access to the personal data we hold about your child or yourself;
Request correction of inaccurate or incomplete personal data;
Request erasure of personal data, subject to our legitimate retention needs described in Section 8;
Object to, or request restriction of, certain processing; and
Withdraw consent for processing that relies on consent, without affecting the lawfulness of processing carried out before withdrawal (noting that withdrawal may mean an application cannot be progressed).

We may update this Privacy Policy from time to time, including to reflect changes in our processing practices or applicable law.
